Guide

Telling customers a call is recorded.

A short guide and wording you can copy for your callers, website and WhatsApp.

Last updated 2026-11-05

The short version

  • Tell people before, or at the start of, the call that it may be recorded, and why.
  • Give them a simple way to say no, and decide in advance what you will do if they do.
  • Record and keep only what you need. Delete recordings you no longer need.
  • Keep a note of how you told them. A written notice plus a spoken line is stronger than either alone.

Leadz does not record audio itself. The phone records the call, and for calls placed from Leadz the app attaches the file to the customer. Your own phone settings decide whether a call is recorded, and your notice should match what actually happens.

This page offers general suggestions and sample wording. It is not legal advice, and laws and sector rules change. You are responsible for compliance. Have an adviser review the wording before you rely on it.

1. Opening line for callers

Say this at the start of each outbound call, before the main conversation. Adapt it to your business and language.

EnglishHello, this is [name] from [business name]. This call may be recorded to keep an accurate note of what we discuss and to improve our service. Is it all right to continue?
If the person says noNo problem. I will not record this call. [Continue, or offer to talk on the phone without recording / send details on WhatsApp.]

If a customer objects, the caller should stop the recording on the phone, or the business should decide to handle that customer in another way (for example by message). Agree a rule with your team and write it down.

Translate the line into the language you speak with the customer. Keep it short and plain, and say it clearly rather than fast.

2. Notice for your website

Website, contact page or footerCalls between [business name] and our customers may be recorded and kept to maintain a record of what was agreed, to follow up on enquiries and to improve our service. Recordings are kept for [period] and are accessible only to our team. To ask about your recording, or to ask us to delete it, contact [email or phone].

3. WhatsApp or SMS notice

First message to a new enquiryHello [name], this is [business name]. We will call you about your enquiry. Please note that our calls may be recorded to keep an accurate note of what we discuss. If you would rather not be recorded, reply NO and we will not record the call.
Short version[Business name]: we may call you shortly about your enquiry. Calls may be recorded for our records. Reply NO if you prefer we do not record.

4. Enquiry form line

Next to the phone number fieldBy giving us your number you agree that we may call you about this enquiry, and that the call may be recorded. See our privacy notice at [link].

5. Housekeeping

  • Decide how long you keep recordings, and delete them after that. Say the period in your notice.
  • Limit who can listen. In Leadz, access follows the owner, manager and caller levels.
  • Fill in the blanks in the templates. Do not publish them with brackets still in them.
  • Do not record personal calls or calls with staff unless you have a policy and have told them.
  • Some sectors, such as banking, insurance, health and debt collection, have extra rules. Ask your adviser.
  • Under the DPDP Act, 2023, your business is normally the Data Fiduciary for your customers' data, including recordings. See our privacy policy.
